Event Coordinator - London - Reinsurance - 250 per day

In this role you will be responsible for leading the delivery of the Reinsurance Training Programme. The training programme takes place twice a year on an annual basis, hosting clients from around the world. The position requires a passion for providing the highest level of client satisfaction, as well as the ability to develop and maintain strong relationships with colleagues participating in the programme. In conjunction with event coordination, the role requires a focus on continuous improvement and project evaluation.

The Role
Event Management:

  • Manage the Event from beginning to end, including post event evaluation and communications
  • Manage stakeholder engagement. Including delegate allocation across the Business Units up to the finalisation of the delegate list, and overall staff participation
  • Manage event information. Gather relevant event documentation, manage its storage and security
  • Monitor the event colleague resources allocated to the event, formed to deliver the agreed work
  • Manage the logistics of the events; booking internal & external venues, daily prayer room, tours, catering and transportation
  • Review the current schedule of the social events, ensuring all events are booked with details finalised a month prior
  • Review the current curriculum and make scheduling changes as appropriate
  • Confirm and engage with internal / external presenters. Managing submission deadlines, presentation reviews and organise coaching sessions. Ensure external presentations are compliant with all systems
  • Arrange appropriate layout meeting room(s) and manage layout changes throughout the event
  • Engage with the IT Department to ensure delegate laptops are installed with printing capabilities
  • Create a Team Delivery pack ensuring all event details are circulated prior to event to internal resources and participants
  • Streamline event coordination and redevelop aspects of the event as appropriate

Programme Delegates and Materials:

  • Monitor and track delegate registration. Streamline a registration protocol ensuring all relevant data is captured from the start
  • Obtain compliance approval
  • Manage ongoing communications with delegates prior to arrival and be available as the key point of contact during the event
  • Coordinate Meet & Greet with Front of House team
  • Provide delegate details to Security and Catering in good time
  • Manage ad-hoc admin requests for delegates during the event
  • Ensure the availability of approved delegate versions of presentation material
  • Manage the event graphics. Ensure up to date versions of various materials are redesigned and printed in good time
  • Agree and implement protocols for the use of social media and/or external instant messaging

The Requirements

  • Excellent communication skills, both written and verbal
  • Event Management skills, preferably gained in a learning and development, HR, marketing or business consultancy organisation
  • Word, Excel and PowerPoint skills
  • Attention to detail
  • A focus on continuous improvement
  • Excellent client relationship management skills
  • Working to tight deadlines.
  • Flexibility to handle ad-hoc administrative duties as required
  • Insurance experience and ideally reinsurance
