IT Projects Support Administrator (6 month FTC)

Reports to: Head of IT Change
Direct Reports: N/A
Working Arrangements: 6 month FTC, London, Full Time Monday to Friday

Overall Objective of Role:

To provide a high level of administrative support to the IT Change team on a full range of project related activities and processes, and to contribute to the effective operation of the team as appropriate.
The aim of the role is to provide professional and proactive administrative assistance and support to the IT Change Function.

Specific Responsibilities:

  • To provide administration support to the IT Change team
  • To liaise with both internal and external stakeholders
  • To support projects and change team activities, in a proactive manner
  • To assist in maintaining project documentation and filing on project SharePoint sites
  • To schedule meetings, as required by the change team and prepare any required meeting documentation
  • To booking meeting rooms (virtual and physical) and sending meeting invitations
  • To assist with the timely preparation and administration of agenda/minute/action items for internal team and project board meetings
  • Assisting with the production of presentations and other materials
  • To take and write up minutes at project and governance board meetings
  • To support Project Managers and the Head of IT Change with the production of status reports, financial tracking, dashboards and pipeline management
  • To raised purchase orders and process the recording of invoices using internal finance systems
  • To assist with the production of reporting and management information
  • To support Project Managers with financial tracking of all project costs and the maintenance of RAID logs
  • Any other duties as required



Person Specification:

  • At least 2 years previous admin support experience is essential
  • Preferred industry experience in IT and Insurance
  • Highly organised and proactive individual with excellent attention to detail
  • A motivated, approachable and enthusiastic individual with a positive attitude
  • Pro-active and able to use own initiative
  • Excellent IT skills must include Microsoft Office - Outlook, Word, Excel and PowerPoint
  • Excellent verbal and written communication skills
  • Previous experience of preparing agendas and taking minutes
  • Ability to produce accurate and compliant documentation
  • Ability to organise and prioritise own workload
  • Demonstrable experience of working with senior managers
  • Ability to work autonomously but also as part of a team
